Effective Teleseminars: 3 Essential Tips

Teleseminars are especially effective marketing tools for service business owners and independent professionals. Many people want to hear your voice before they hire you. At the same time, they want the freedom to listen at their convenience, via an mp3 device while they're jogging, driving, multitasking or just hanging out.

I've used teleseminars to get clients ever since I began working online. Along the way I've made my own share of mistakes. Of course, I also learned a lot about what works.

Here are three tips that make a big difference to my clients (and I still have to be vigilant when I give my own teleseminars).

1 - Give your audience a replay.

Currently many marketers are holding back on sharing replays of calls. Frankly, I think they're showing disrespect for other people's time. Are we supposed to cancel a dentist appointment or a meeting with an out of town friend to listen to a call? I don't think so.

Of course you want to create a sense of urgency. I admit I'll listen to a replay if I know it's going to disappear, as compared to something I can store forever on my hard drive. Give listeners 24-48 hours to listen online.

In today's world, nearly everything is geared up for later listening - episodes from Downton Abbey, library podcasts and even university classes. If you're not part of this trend, you will come across as operating in scarcity mode.

2 - Listen to your own talk.

Don't forget to listen yourself to your own teleseminar. I'm a very experienced speaker, yet recently I caught myself saying more "ums" and taking long pauses. Well, they're not long in conversation or a live speech, but in a recording they seemed to last forever.

Your voice should be confident and fast-paced. Many experts recommend speaking at a more rapid pace than you would in ordinary conversation.

Practice when you're talking on the phone to ordinary friends. If your conversation partners seem to be getting impatient to get off the line, or if they say things like, "Can we get to the point?" they're giving you valuable hints.

3 - Think in threes.

Recently I was planning a teleseminar for a specialized audience in an organization. I kept wanting to give them more and more information. Fortunately, I remembered the Rule of 3.

Speech patterns of three occur all over the world. Some communicators think there's a hypnotic component to using the "three" rule; I'm not sure myself, but I know the convention appears all over the world.

Focus on three take-aways and plan your call around them. Most listeners will remember three takeaways; they'lll get confused when you pile on more info. In a university classroom, where you'll be testing students on what you present, you can get away with a lot more. In a marketing context? No way!

If you've been following me for long or visited my website at all, then you probably know that I'm disabled. Yes, I have problems putting two words together. No, no... I really do have a mobility limitation. As does my business partner. Which makes life as a course facilitator somewhat difficult.

In fact that's why we got into the internet based training business. Rather than fight the trend we realized that embracing technology would help us to continue to do what we both love doing - helping people succeed.

There can be no doubt that improvements in technology can overcome physical limitations not only for people with my problem (or similar) but for everyone. In fact when I was preparing for this article I realized that ideas for overcoming physical limitations which weren't disability based were coming every bit as fast as the ones for people with limitations. Faster if you add in how technology was improving teleseminar limitations.

Here are four examples of how improvements in technology can overcome physical limitations.

1. I am now able to teach without spending hours standing up. The biggest issue which my business partner and I both faced was that doing a live seminar meant spending two to four hours at a stretch without sitting. Teleseminars allow me to present a seminar while sitting, standing or doing a mix of both. You can't see me so I have a much greater freedom than I do in a live environment.

2. I am able to reach people around the world without having to travel. Now don't get me wrong. I love travelling. I enjoy meeting new people and experiencing new cultures. But travelling for business - especially the training business - gets old quick. And the enhanced security in the last ten years has made travel for business even more of a hassle.

3. I am now able to teach at any time of the day or night. When I was teaching for live audiences I would have to eat or sleep or just relax. And when I was doing that I couldn't teach. And even if I was available I could only teach for a limited amount of time. Teleseminars can be recorded and played back at any time. In fact, many courses run twenty four hours per day, seven days per week without ever stopping!

4. The sound quality of teleseminars has increased dramatically. So far I've given examples of how teleseminars have overcome physical limits for the disabled, for travel and for time shifting. But technology has helped teleseminars overcome their own limitations as well. At one time a teleseminar had to be done via a phone line using a telephone headset. Quality was frequently questionable. Now even an inexpensive headset can produce music quality using digitally perfect recording tools. And editing has become something even an amateur can do.

If you've listened to lots of teleseminars you'll notice that there can be a marked difference in the quality of teleseminars. There are definitely some dos and don'ts when it come to hosting teleseminars.

So here are 5 teleseminar mistakes to avoid if you want to host a great teleseminar:

1. Using a cordless or mobile phone

The sound quality using a cordless or mobile phone is often poor and unreliable. Sound can fade in and out and there is often static on the line. You want a clear, crisp sound so that those listening to your teleseminar live can hear every word and so you can create a high quality recording.

However, there are times when you a mobile phone may be the only option for you or your guest. If this is the case, apologise to your audience know in advance and let them know that the sound quality may be affected. Your audience will be more understanding as a result.

2. Not starting on time

If you don't start promptly you will come across as unprofessional and disorganised. It will give participants an excuse to call in late and some callers may drop off the line before your event begins. Ensure that you call in early, about 10-15 minutes ahead of the official start time. You can stay muted while you do your final checks.

Also, sometimes you can experience difficulty in connecting to your bridge line and if you experience any such problems calling in early will normally give you sufficient time to resolve any such issues.

3. Staring with Content

While you should start your teleseminar on time, avoid the temptation to dive straight into content. Hosting a teleseminar can be likened to hosting a dinner party. Give your guests time for a little chit chat and introductions so that they to get to know each other and build rapport before serving the main course.

Teleseminars can offer participants the opportunity to self-promote as some hosts will encourage attendees to introduce themselves by saying their name, location and URL. For large teleseminars this can result in exposure to hundreds of potential Joint Venture (JV) partners and or clients and so is much appreciated by those prepared to take advantage of this.

Plus some of your guests are likely to turn up late - it's the nature of the game. Some guests may simply have difficulty in connecting to the bridgeline. So it's a good idea to allow time for latecomers to arrive. In this way your content will reach the widest possible audience and those who arrive early get the opportunity for a little self-promotion.

For a 60 minute teleseminar allow 5-10 minutes before starting your main menu. This also allows those who may not have heard you present a teleseminar before to get to know you.

4. No "Call-to-Action" website

Maximise the impact of your teleseminar by getting your attendees to take action. You can only deliver so much content in an hour. So you want to direct them to a website or provide the link to a download where they can continue to learn about your product or service.

During a teleseminar you have to encourage people to take action. Now some people are averse to selling and that's another discussion. However, the short of it is that if you believe in your product or service and the value it will give others then you should feel comfortable about promoting it. And the better you are at promoting the more money you'll make from teleseminars.

5. Not following your study guide

A study guide provides structure for your teleseminar. Ideally, it lets participants know what to expect from your teleseminar and it helps participants to get the most out of your event. This is because the study guide will help to activate your brain's Reticular Activating System, i.e. it tells your brain what to listen out so that you can complete the study guide. If you don't follow the study guide your listeners become confused and irritated and they don't get as much as they could and should out of your event.

And, the more value your participants can get from your teleseminar the more likely they will keep coming back for more and buy your products and services.

Teleseminar or teleconference calls are often a mixed bag of misadventures. Teleseminar service technology in most cases doesn't solve many of these situations and that can ruin the quality of the teleseminar and the host's ability to create a quality digital product from it. However, new technology is coming out that provides a workaround for many of the issues that frequently plague these calls. Read on for some of the ways in which you can use new technologies to create a flawless teleseminar.

1. A simple and easy way to interact with guests

There should be a way to interact with guest that is very easy and simple. The technology should let the teleseminar moderator individually control which participant can talk when they have a question or comment. This means allowing those listeners who want to ask questions to be unmuted on a per listener basis. The kind of technology that would have this functionality would be a "raised hand" feature where the moderator would know those participants that want to ask a question to signal the host. This way, the moderator would know which specific caller to unmute so the caller can ask their question, and keep all the other callers on mute to avoid unwanted noise from the other callers.

2. Ability to adjust individual microphone volume

Have you ever been on a call where one presenter has a low volume that you can just barely hear, while another presenter has a very high volume? It is very distracting for the participants on the call because they are constantly getting switched from hard-to-hear to way-too-loud. A great feature that would eliminate this problem, and allow for a smooth call, would be for the moderator to be able to control the individual volumes of the presenters and guests. Technology has come far enough to where the moderator can actually adjust the output volume of individual members on the call.

3. Ability to call hosts missing from the teleconference

If there are multiple hosts or presenters participating in the teleconference call, the probability that one of the hosts or presenters missing in action increases dramatically. The current technology forces the moderator to use a second line to track down the missing presenter. If the moderator has no other line to use, they have to hang up to track down the missing presenter, and then hope they can call back in again if the teleclass is full. If they are using a service that disconnects all of the guests if the moderator hangs up, then the moderator has to wait and hope the missing presenter remembers to call in, or send them a flurry of frantic emails.

A solution to this problem would be to have a "dial-out" feature with your teleconferencing service. This would allow the moderator to directly call the missing presenter directly from the teleseminar hosting service and that way they don't ever have to leave the teleconference call.

The quality of your teleconference depends greatly on the teleseminar service you use. Until recently, the technology wasn't able to overcome many of the common problems that frequently crop up during the teleseminar. The most helpful part is to know the service providers that can solve these issues and not break the bank. There are very few services that are currently available which are also affordable AND solve most of the technological issues that can often plague a teleclass.
